The 40+ Tools We Use to Run a 7-Figure Business (And Why They Matter)
$5K/month in tools?! Here's every software we actually use

Let’s talk about tools and software - an integral part of how I run my businesses.
I spent 2 hours trying to list off every single piece of software my team and I use to run my businesses, and boy - after reading through this list I’m speechless at how long it is.
Please note - just because a tool is on this list doesn’t mean you should use it. Every business is different, and businesses at different levels aren’t going to use the same things.
There are also countless alternatives for each of these use cases, but we’ve landed on these specific tools.
ClickUp (for task management)
HighLevel (for pipelines, CRM, automations, calendar bookings, funnels, and much more)
Slack (team comms)
Google Workspace (team emails)
CapCut (short form video editing and translations)
Loom (screen recordings)
Frame.io (video editing collab and storage)
Hubstaff (time tracking)
Deel (contracts and payroll)
Payoneer, Wise, PayPal (payments)
Mercury (business bank account)
Quickbooks Online (bookkeeping)
Paired (does all my hiring for the media business)
Canva Pro (PDFs/Design)
Webflow (website)
Kajabi (online course platform)
Google (docs, sheets, etc)
LinkedIn Recruiter (for Paired)
Hostinger (VPS, web hosting)
ChatGPT (research, outlines, corrections, general AI assistant, image generation)
Typeform (fillable forms)
Notion (our second task management tool, outlining online courses, etc)
Northwest Registered Agent and Bizee (business formation)
Beehiiv (newsletter)
Artlist, Motionarray, and Epidemicsound (stock footage)
Omnisend (email marketing)
SeekOut (AI recruiting software)
Riverside (remote podcast recording)
Some people like to stay super lean with the amount of tools they use - and I agree, keeping track of all these tools is hard. But when you do it correctly every tool you onboard should make your team MORE productive, not bog them down.
Let’s say we assign a 3x multiplier to my set of tools I pay for. That means, with a team of 70 people, they should be able to have the output of 210 people (without tools). Pretty solid ROI right?
That’s the whole purpose of tools, to make everyone’s life easier. I suspect as AI becomes more and more powerful, we’re going to see AI versions of all these tools. Soon, you’ll be able to do any task way faster than you can now.
Now, for the cost:
The cost for the tools I listed range from a few dollars a month to about $5k a month. Yup - LinkedIn Recruiter + Job Slots really costs our recruiting agency that much money 🙁
Lots of these tools cost more or less depending on how big your business or what your use case is. For example, I pay about $200 a month for our Google Workspace accounts (having different emails for the team, etc).
Anyways, hope this list was helpful in some type of way. It’s also interesting to see the tech stacks that people use to run their businesses, and this should give you some insight as to how we run our businesses.

The Marketing Tool That Replaced Half My Software
I used to bounce between five different tools just to send emails, follow up with leads, and book calls. It was frustrating and messy. Then I found HighLevel. I’ve been using it ever since.
You can set up automatic follow-ups by email and text
Everything’s in one place: email, CRM, bookings, funnels, all of it
You can build pages and courses with simple drag-and-drop tools
It even has an AI that answers calls and messages for you
It works great when you’re just starting out and keeps up as your business grows
If you’re still jumping between apps or losing leads, this might be the thing that saves you a ton of time.
